FISKO PRIVACY POLICY

This policy explains how Gateway Technology Solutions, 39 Papaya Crescent, Voivoi Industrial, Nadi, Fiji ("we", "us") handles personal information in Fisko, our online accounting, invoicing and payroll service and its mobile apps.
1. TWO KINDS OF INFORMATION
- Account information is about the people who use Fisko: their name, email, phone, password (stored only in scrambled form), the companies they belong to and their role.
- Business records are what a subscribing company enters into Fisko: customers, suppliers, invoices, bills, bank transactions, items, and payroll information about its employees (such as names, TINs, FNPF numbers, bank accounts, pay, tax and leave).
For business records, the subscribing company decides what is entered and why, and is responsible for it. We store and process those records only to provide Fisko to that company.
2. WHAT ELSE WE COLLECT
- Security and usage records: sign-ins, failed sign-ins, IP addresses, password resets and changes made, kept in audit and security logs.
- Billing information: your company's details, subscription status and our invoices and payments.
- Mobile app information: a device notification token (so the app can show alerts such as approvals) and the device name you sign in from.
- Messages you send us for support.
3. HOW WE USE IT
- To provide Fisko, including sending the emails you ask it to send (invoices, statements, payslips, approval and leave notices).
- To run your subscription: trial reminders, invoices and payment follow-up.
- To keep Fisko secure, prevent misuse and investigate problems.
- To meet our legal obligations.
We do not sell personal information and we do not use your business records for advertising.
4. WHO WE SHARE IT WITH
Only as needed to run Fisko:
- our hosting, backup and file-storage providers (servers may be outside Fiji, for example in Australia);
- our email delivery provider, for emails sent through the Fisko email service;
- FRCS, when you fiscalise an invoice through Fiji VMS — the invoice details are sent to FRCS as the law requires;
- Expo (expo.dev), to deliver notifications to the mobile app;
- Google Fonts, which supplies the typefaces on our web pages (your browser contacts Google to load them);
- authorities, when the law requires it.
If your company uses its own mail server or file storage, information also goes to the provider you chose.
5. SECURITY
Each company's records are kept separate and can only be seen by people that company has invited. Passwords and stored secrets (such as VMS certificate passwords) are encrypted or scrambled, connections use HTTPS, and we keep backups. Our staff only look at a company's records when needed to support it.
6. HOW LONG WE KEEP IT
- While your subscription is active, for as long as you keep the records.
- After cancellation, records stay available read-only for 90 days so you can export them; after that we may delete them permanently, except anything we must keep by law.
- Tax and payroll records may need to be kept for a number of years under Fiji law; your company is responsible for keeping its own copies for that period.
- Security logs are kept for as long as reasonably needed to protect the service.
7. YOUR CHOICES AND RIGHTS
- You can see and correct your account details under My profile, and your company can export its records at any time.
- You can ask us for a copy of the personal information we hold about you, or ask us to correct or delete it, by emailing us. Requests about information a company entered (for example an employee's details) should normally go to that company first.
- We'll respond within a reasonable time and may need to confirm your identity.
8. COOKIES
Fisko uses only cookies needed to run it: a sign-in session cookie and a cookie that remembers your light or dark theme. We do not use advertising or tracking cookies.
9. CHILDREN
Fisko is not intended for anyone under 18.
10. CHANGES
We may update this policy and will give notice of important changes by email or in Fisko.
